Frequently Asked Questions (FAQ)

Can I present my entire culture?
No. This year we are focusing on active, engaging activities that present selected elements of a culture.

How many people can apply together?
Each application can include between 1 and 3 people.

How much space will we have?
Activities will take place in 3 × 3 m tents (sample photos from previous editions can be found here: https://www.wolontariat.uw.edu.pl/en/cultural-hotspot-sample-gallery/).
We encourage you to plan your activity to ensure comfort for both presenters and participants. Organisers can provide tables, chairs, and other equipment as needed.

How does the activity budget work?
Each activity will have a budget of 300 PLN for materials needed to prepare it.
Once your activity is approved, we will ask you to submit a list of required items by a specified deadline. Purchases will be made by the organisers.

Can we bring our own materials or decorations?
This is possible, but must be arranged in advance with the organisers. The tents will have permanent decorations aligned with the theme of the event, so it will not be possible to add or attach new elements independently.

Can we serve food or drinks?
It is not possible to offer or distribute food prepared personally or ordered from restaurants.

Can we involve an NGO, embassy, or company?
External partners (e.g., embassies, NGOs, or companies) may support you during the preparation of your activity. However, during the event, only the individuals listed in the activity proposal form may be engaged. Miasteczko na Styku Kultur – Cultural HotSpot UW is a space created by the University of Warsaw community.

What if I cannot be present for the entire time slot?
Attendance for the full allocated time is required. If you know you will not be available, please select a different slot when submitting your application.

What happens if I am late or do not attend the event?
We ask you to approach your engagement responsibly. Being absent or significantly late may affect your eligibility to take part in future initiatives. If something prevents you from attending, please inform the organisers as soon as possible.

When will I be notified of the results?
You will be informed by email on 4 May whether your proposal has been accepted, placed on the waiting list, or not selected.
