Issuing Dormitory Certificates and References for Volunteers of the Volunteer Centre of the University of Warsaw

FAQ - Dormitory certificates and references for VC UW volunteers

1. Who can apply for a dormitory certificate or references?

Any person who has carried out volunteer activities within the Volunteer Centre of UW or on behalf of the University of Warsaw through VC UW may apply for a dormitory certificate or references, provided that they completed at least 10 hours of volunteering in total during the current and previous calendar year, and fulfilled their assigned tasks in accordance with the instructions received.

2. Can I receive a dormitory certificate if I volunteered in projects outside the University of Warsaw that were recruited for by the VC UW?

No, VC UW issues dormitory certificates only if you volunteered within the VC UW or on behalf of the University of Warsaw through VC UW. We need to be familiar with the specification of your engagement in order to issue the document reliably.

3. Can I receive references if I volunteered in the University of Warsaw but I did not apply through the VC UW?

No, VC UW provides references only to people who volunteered within the VC UW or on behalf of the University of Warsaw through VC UW. We need to be familiar with the specification of your engagement in order to issue the document reliably.

4. Can I receive references or a dormitory certificate if my engagement was less than 10 hours?

No, references and dormitory certificates are issued only to people whose volunteering engagement lasted at least 10 hours in total during the current and previous calendar year.

5. If I was engaged in several different projects exceeding 10 hours, will I receive one dormitory certificate or several?

You will receive one collective dormitory certificate covering all the projects in which you participated.

6. If my engagement was less than 10 hours, does it mean I will not receive any certificate for volunteering with VC UW?

The already existing rules for confirming participation in volunteer activities remain unchanged. You will still receive a certificate confirming your participation in specific projects carried out within VC UW, regardless of the number of hours completed, in accordance with the rules stated in the Act on Public Benefit and Volunteer Work. The procedure applies primarily to situations in which you need a single, consolidated document confirming your volunteering activity, for example when applying for a place in a student dormitory (dormitory certificate) or for an Erasmus exchange (references).

7. How can I apply for a dormitory certificate or references?

Applications should be sent via email to: wolontariat@uw.edu.pl

The application should include: 

  • your name and surname,
  • the period during which you volunteered,
  • the name of the project or volunteer activities you took part in,
  • preferred document format (paper or electronic)
8. Who prepares the dormitory certificate or references?

This document is prepared by a VC UW volunteer coordinator, taking into account the scope of activities, the level of commitment, as well as the responsibility and independence in carrying out the tasks.

9. What does the document look like?

The dormitory certificate or references may be in a paper or electronic form and include:

  • the name of the issuing unit,
  • the volunteer’s details,
  • the period and scope of the activities performed,
  • an assessment of the volunteer’s level of engagement,
  • the date of issue,
  • the signature of an authorised person.
10. How long does it take to issue a document?

Dormitory certificates and references are prepared within up to 10 business days from the date the application is submitted.

11. Can VC UW refuse to issue the document?

Yes. VC UW may refuse to issue a dormitory certificate or references if the conditions stated in the procedure are not met (e.g. insufficient number of hours or incomplete tasks).
